New ways of working, such as teleworking, are making the use of videoconferencing and other collaboration tools increasingly common. Thanks to these applications, colleagues can easily keep in contact, wherever they are. 90% of respondents to our recent survey said they expect to make more use of collaboration software in the future. But which tool is the best fit for your company? Here’s a checklist.

Collaboration tools are a part of the so-called digital transformation. The use of such crucial tools has accelerated for many companies. It’s important that the collaboration tool you choose today meets the specific needs of the organisation. The right choice is not always obvious. Ask yourself these questions while you’re searching for the ideal option:


1. Which functions does the tool need to include?

Do you just need videoconferencing or a different form of collaboration too—such as document sharing and messaging? Think in advance about what you’ll use the tool for; meetings, events, training, webinars, customer support or possibly something completely different.  


2. Who supplies the tool?

The needs of modern organisations are constantly changing. Is the company that’s offering the collaboration tool up to date with the latest developments? What kind of reputation do they have? And will they keep investing in the improvement and optimisation of the tool?


3. What about security?

Is the tool safe to use? Is your company data secure? Cybersecurity and privacy are vitally important for collaboration tools; just think about the rumours that started spreading last week.


4. Which devices are supported?

Which devices is the collaboration tool compatible with? Will you be working only on your laptop and desktop computer, or will you use it with your smartphone and tablet? A lot of providers support the use of mobile devices, but it’s still advisable to compare the possibilities and user-friendliness of the different tools.
 

5. Would you like to integrate the tool into other company applications?

This question is often crucial, especially when it comes to other applications relating to collaborations, such as email. Some applications stand alone, while others, such as Microsoft Teams, are part of an entire platform.


6. Is extra hardware required?

Do you need to install tools or hardware to run videoconferences?


7. What about traditional telephone calls?

8. And finally: what are the costs like?
